This Data Processing Addendum is a public baseline summary for school, institutional, partner, and processor relationships. It does not replace a signed school, partner, or enterprise agreement.

For school or institutional deployments, the school or institution generally determines the educational purpose of processing student data, and SwaVid processes data to provide the contracted services. The final legal role depends on the signed agreement and applicable law.

For EU, UK, or other restricted transfers, the parties should execute the applicable transfer mechanism, including Standard Contractual Clauses or equivalent safeguards where required.

When SwaVid acts as processor or service provider, SwaVid will process personal data only on documented instructions from the controller, school, institution, partner, or customer, including instructions contained in the agreement, order form, product configuration, support request, or authorised administrator action.

SwaVid personnel and sub-processors with access to personal data must be bound by confidentiality obligations or equivalent professional duties. Access must be limited to those requiring access to provide, secure, support, or improve the contracted services.

SwaVid will provide reasonable assistance for data subject requests, parent requests, school record requests, security inquiries, breach assessment, DPIA support, and regulator communications where the request relates to SwaVid processing and is commercially and technically reasonable.

At termination, SwaVid will return, delete, restrict, anonymise, or de-identify personal data according to the agreement and applicable law. Backup copies may persist until overwritten in ordinary backup cycles, provided they remain protected and are not used for active processing except restoration or legal compliance.

- ( a ) Provide and support SwaVid educational services.
- ( b ) Operate diagnostics, tutoring, reports, analytics, and related school or parent visibility.
- ( c ) Maintain security, support, logging, billing, and legal compliance.
- ( d ) Process data only according to documented instructions, contractual terms, and applicable law.
- ( a ) Use appropriate confidentiality, access, security, retention, and deletion controls.
- ( b ) Use sub-processors only under appropriate contractual safeguards.
- ( c ) Assist with lawful data-subject, parent, school, breach, audit, and deletion requests within reasonable limits.
- ( d ) Return, delete, or de-identify data at contract end subject to legal retention and backup limitations.
